Photography & Social Media Policy

How we handle photos and video of youth members across Instagram, Facebook, YouTube, and TikTok.

Purpose

New Ground Jiu Jitsu Academy shares photos and video of training, gradings, and competitions on Instagram, Facebook, YouTube, and TikTok. This policy sets out how we do that safely where youth members are involved.

Consent

A photography and social media consent form is provided to every member as part of sign-up, and covers all four platforms above. No image or video of a youth member is used on any club channel unless consent is confirmed on file for that child.

  • Consent is recorded per child, not assumed for a class or group as a whole.
  • A parent or guardian can update or withdraw consent at any time by contacting the Designated Safeguarding Officer (DSO) — withdrawn consent is actioned before the next post, and existing posts are removed on request.
  • Where a class or event includes a mix of consenting and non-consenting children, photos and video are framed or selected so that non-consenting children are not identifiable.

Where Photography Is Not Permitted

  • Changing areas, at any time, for any reason.
  • Close-up images focused on a single child, rather than the group or the activity.
  • Any image that could cause embarrassment or discomfort — for example, a child who has just lost a competition match.

Who Can Take Photos

Only coaches, volunteers, and designated club photographers take photos or video intended for club channels. Parents are welcome to photograph their own child for personal use, but are asked not to post images of other people's children without those parents' consent.

Posting Guidance

  • First names only are used in captions, if any name is used at all — never a child's full name alongside their photo.
  • No identifying details are posted that reveal a child's school, home area, or routine.
  • Comments on posts featuring youth members are monitored, and any inappropriate comment is removed and the account blocked.

Online Conduct

Coaches do not follow, friend, or message youth members from personal social media accounts. Any club-related contact with a young person happens through official club channels, copying in a parent or guardian where appropriate.

Concerns

If you're concerned about an image, a comment, or how your child has been represented online, contact the DSO directly. Concerns are actioned promptly — an inappropriate image or comment doesn't wait for the next review cycle.
